Job Overview

The ideal individual should have an accounting background to play the critical role in supporting senior executives, while also offering valuable expertise in financial matters.

Key Responsibilities

  • Provide comprehensive administrative support to senior executives, including calendar management, travel coordination, and document preparation
  • Draft, proofread, and send emails, reports, or other documents as required.
  • Organize and maintain files, both digital and physical, ensuring that sensitive information is handled securely.
  • Assist with budgeting and financial planning by tracking expenses, managing invoices, and ensuring all receipts and financial documents are processed.
  • Prepare monthly, quarterly, and annual reports, tracking expenditures, and reviewing accounts.
  • Help with the preparation of financial statements, balance sheets, and cash flow projections.
  • Reconcile credit card statements and bank accounts for the executive team.
  • Maintain records of financial transactions, ensuring compliance with accounting standards and company policies.
  • Coordinate and manage specific financial projects as assigned by executives.
  • Ensure the accuracy and timeliness of financial reports and data submissions for projects.
  • Serve as the point of contact between the executive and other departments or external parties, particularly with respect to finance or accounting matters.
  • Assist in preparing for meetings by collecting financial data and creating presentations.
  • Maintain confidentiality regarding financial data and other sensitive information.
  • Ensure compliance with internal and external regulations, policies, and procedures related to finance and accounting.

Skills and Qualifications

  • Knowledge of accounting principles, financial reports, and budgeting.
  • Degree in accounting, Finance, or a related field, or relevant experience in financial administration.
  • Excellent organizational abilities to manage multiple tasks, deadlines, and priorities.
  • Ensuring accuracy when processing financial documents or reports.
  • Ability to communicate effectively, both written and verbally, with executives, staff, and external parties.
  • Proven experience as an Executive Assistant or in a similar role, with a strong understanding of accounting principles and financial management.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and accounting software.
  • Ability to identify and resolve issues related to finance, accounting, or scheduling.
